So, what's the role?

This is a genuine hybrid position: part Executive Assistant, part Operations Coordinator. On the EA side, you'll be the trusted right-hand to the CEO, executive team and Board. With the CEO predominantly based interstate, you'll be her eyes and ears on the ground in Adelaide – supporting her remotely day to day, coordinating meetings and travel in conjunction with their corporate travel agent. On the operations side, you'll keep the wider business humming – coordinating projects, systems, governance, events and the day-to-day details that keep a growing national organisation on track.

A typical week might see you:
  • Managing the CEO's diary and inbox, filtering and directing correspondence to the right people.
  • Coordinating the CEO's travel and meeting logistics.
  • Sitting in on meetings, taking minutes and following up action items to keep projects on track.
  • Preparing board papers and taking minutes for the Board and Risk & Governance Committee.
  • Managing the organisation's Monday.com board, keeping projects moving and people accountable.
  • Designing documents, templates and staff resources in Canva.
  • Supporting recruitment administration, from drafting adverts to screening candidates.
  • Helping plan and run events – from the staff Christmas party to camps, expos and conferences.
  • Contributing to organisational projects like new clinic openings, audits and policy work.

You're someone who keeps everything (and everyone) on track – and has fun doing it. You take ownership, move fast and don't wait to be told twice. You're organised, adaptable and thrive at pace, but you also bring warmth and energy to the team even on the full-on days.

You'll bring some previous Executive Assistant experience and be confident preparing Board papers, taking minutes and supporting senior leaders. Beyond that, you're someone who enjoys variety and is happy rolling up your sleeves across operations, project coordination and administration. Most importantly, you'll genuinely care about the work OTFC does and be excited to play your part in helping more children and families access life-changing therapy.

Ideally, you'll bring:
  • Exceptional organisational skills and the ability to juggle competing priorities.
  • Outstanding written and verbal communication skills.
  • Absolute discretion handling sensitive and confidential information.
  • Strong tech skills across Canva, MS Office and project management tools (Monday.com experience highly regarded).
  • Experience supporting executives or a Board (allied health or NDIS exposure a bonus).
  • A proactive, solutions-focused approach and the confidence to take ownership.
  • A fun, can-do attitude and a genuine willingness to give anything a go.
