Davidson is partnering with a well established Australian organisation with a significant national footprint and diverse business operations.
Operating within a fast paced and commercially focused environment, the organisation has an established presence within its sector and continues to grow and evolve. This newly created position will work closely with two key members of the Executive Leadership Team and will play an important role in establishing a highly effective executive support function.
About the Role
We are seeking an experienced Executive Assistant to provide high level support to the CEO and CFO.
As a newly created position, this is an opportunity to genuinely shape the role. You will establish effective ways of working, introduce structure and processes and develop an executive support function that enables both leaders to operate effectively.
This role extends well beyond traditional diary management. You will become a trusted point of connection between the CEO, CFO, senior leaders and key external stakeholders, with exposure across executive communications, meetings, travel, projects, reporting and broader strategic, financial and operational priorities.
Key responsibilities will include:
- Establishing and developing the executive support function for the CEO and CFO
- Proactively managing complex diaries, meetings, commitments and competing priorities
- Developing effective systems for actions, follow ups, correspondence and executive priorities
- Coordinating domestic and international travel, including detailed itineraries and briefing materials
- Preparing executive correspondence, presentations, reports, agendas and business papers
- Anticipating requirements and addressing matters before they become issues
- Acting as a highly professional point of contact for senior internal and external stakeholders
- Managing sensitive and commercially confidential information with discretion
- Supporting executive meetings, leadership forums, events and key business engagements
- Providing coordination support across strategic, operational and finance related projects
- Travelling with the CEO on occasion to support external meetings, events and business engagements
About You
You will be an accomplished Executive Assistant who has previously supported a CEO, CFO, Managing Director or similarly senior executive.
Importantly, you will have experience stepping into an environment where you have needed to create structure, establish processes and build an executive support role around the needs of your executive, rather than simply maintaining established systems.
You will be proactive, commercially aware and confident using your judgement. You understand how to represent senior executives professionally and can communicate credibly with stakeholders at all levels.
We are looking for: - Significant experience supporting C suite or equivalent senior executives
- Experience establishing or significantly developing an Executive Assistant function or newly created role
- Proven ability to manage complex and frequently changing executive priorities
- Strong judgement with the confidence to make decisions and operate independently
- Exceptional organisation, attention to detail and follow through
- Highly developed written and verbal communication skills
- A polished and professional approach when representing senior executives and the organisation
- Strong stakeholder management skills with experience engaging senior internal and external stakeholders
- Strong commercial awareness and the ability to understand broader business priorities
- Flexibility and willingness to travel when required
- The ability to confidently converse in Mandarin when engaging with Mandarin speaking stakeholders. Full professional fluency, reading and writing capability are not required
