Apply directJayce Grayye Consulting is seeking an Executive Assistant for one of our clients to contribute to the continued success of their company by providing a high level of administrative assistance to the executive team. Our client helps entrepreneurs & marketers harness the power of YouTube to skyrocket their leads & sales. Their hands-on program is designed to support business owners through every step of running highly profitable Ads - from scripting, to launching campaigns, to optimizing & scaling.
The majority of their clients are coaches, consultants, and course creators. They’ve also worked in a variety of industries including (but not limited to) e-commerce, solar, healthcare & local businesses. They are going through a growth phase right now and are looking for the next super star Executive Assistant!
The Executive Assistant will work directly with the CEO and Director of Operations, ensuring that all administrative support functions are managed properly. On a typical day, the Executive Assistant will manage the executive(s) daily needs including calendar management, email management, travel coordination, office administration, internal team communication, external communication, and personal responsibilities.
Structure & Compensation
- Full Time - W-2 Position
- Base Salary + Monthly Performance bonuses
- Office Location is Austin, Texas (Will Accept candidates willing to relocate)
- Unlimited Time Off
- Range of Earnings $30,000 to $40,000 a year (Based on Experience)
Responsibilities:
Calendar Management:
- Organize and maintain complex calendars; prioritize and coordinate a high volume of ever-changing schedules and priorities
- Managing and scheduling key appointments for multiple executives across multiple time zones while prioritizing along the way
- Ensure the smooth flow of the Executive's meeting calendar on a daily basis by making sure Executives are aware of meeting times and medium in advance
Communication:
- Frequently liaise with senior-level internal and external contacts prioritizing incoming communications, dealing with routine issues, and coordinating complex responses ensuring these are delivered in a timely and effective manner.
- Communicate on behalf of the executive(s) you support, including handling highly sensitive and confidential material. Ensure all communication is tracked and responded to in a timely manner
- Maintain full discretion, confidentiality, and professionalism
Email Management:
- Manage executive(s) inbox by organizing and prioritizing incoming communications
- Coordinate responses and ensure these are delivered in a timely, effective, and professional manner
Travel Coordination:
- Coordinate and oversee domestic and international travel arrangements, including all necessary travel documentation
Office Administration:
- Point of contact for maintenance, mailing, shipping, supplies, and errands
- Manage relationships with vendors, service providers, and landlords, ensuring that all items are invoiced and paid on time
- Design and implement filing systems
- Establish and monitor procedures for record-keeping
- Monitor and maintain office supplies inventory
- Provide general support to visitors
- Participate actively in the planning and execution of company events
Reporting:
- Attend meetings as needed to take dictation and minutes
- Provide executive(s) with action items and assist in the organization and delegation of tasks

To succeed in this position, you should have excellent organizational, administrative, and problem-solving skills. You should also be experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision.
