Apply directMAYDAY Recruitment is partnering with a highly successful and creative professional services business to recruit a temporary Personal Assistant to provide high-level support to three Partners.
This is a fantastic opportunity for a warm, capable and highly organised PA who enjoys working in a fast-paced, personality-driven environment where no two days are the same. Supporting three very different Partners, you’ll be the person keeping diaries, travel, meetings and the day-to-day details running smoothly.
The Opportunity
This is an all-rounder role with a strong focus on diary management, travel coordination and personal support.
You’ll provide dedicated support to three Partners, each with their own working style, priorities and personalities. One Partner will be your primary focus, including a mix of professional and personal support, while you’ll also provide ongoing support to two other Partners across their busy schedules, meetings and travel.
Key Responsibilities
- Manage complex and constantly changing diaries, including meetings, appointments and competing priorities
- Coordinate extensive domestic and international travel arrangements, including flights, accommodation, transfers and itinerary changes
- Monitor and manage email inboxes, identifying important information, following up actions and chasing responses
- Coordinate client lunches, meetings, team functions, events and catering
- Assist with planning team events
- Manage corporate credit card transactions and complete weekly expense reconciliation
- Coordinate meetings and invitations across internal and external stakeholders
- Support the wider team with travel bookings and administrative requirements
We’re looking for someone who is warm, engaging, calm and exceptionally organised.
You’ll be comfortable supporting senior people with different personalities and communication styles and won't be fazed when priorities change at short notice. You’ll know how to politely chase, follow up and keep people accountable while maintaining excellent relationships.
You will ideally have:
- Previous experience as a high level administrator
- Strong diary management and travel coordination experience
- Excellent organisational and time-management skills
- Confidence managing changing priorities and last-minute arrangements
- Strong attention to detail, particularly with expenses and travel
- Excellent written and verbal communication skills
- Solid Microsoft Outlook skills and general confidence using technology
- A proactive, hands-on and solutions-focused approach
- The ability to work independently and use initiative
- A warm, personable nature and a genuine team-first attitude
