Apply directWe are supporting a local grant-making non-profit organization in the search for an Office Operations Manager, to support the implementation of a new grant-making strategy.
Reporting directly to the Founder, this role combines programme coordination, operations, stakeholder engagement, and team supervision. The position suits someone who enjoys managing multiple workstreams, working closely with people from different backgrounds, and helping to establish effective processes in a changing environment.
Responsibilities
- Coordinate the promotion of grant and subsidy programmes through existing partner networks, digital platforms, and community channels.
- Manage incoming applications, including reviewing submissions, identifying missing information, coordinating internal review meetings, and following through on funding decisions.
- Oversee grant administration processes, including applicant communications, payment arrangements, progress monitoring, and compliance tracking.
- Coordinate the production of impact stories and other content for social media and public communications, providing guidance and quality oversight where required.
- Support the day-to-day operations and administration of the organisation, ensuring processes run smoothly and issues are addressed in a timely manner.
- Supervise and support interns, providing guidance, mentoring, and oversight of their work.
- Work closely with the Founder to review progress, identify improvements, and adapt processes as the organisation implements its evolving strategy.
- Contribute to the ongoing refinement of systems, workflows, and operational practices across the organisation.
Requirements
- Experience managing projects, programmes, operations, or administrative functions, ideally in a purpose-driven, community-focused, or service-oriented environment.
- Strong organisational skills with the ability to prioritise multiple tasks and manage competing deadlines.
- Comfortable working across different functions and coordinating with different stakeholders.
- Demonstrated ability to solve problems, improve processes, and adapt to changing priorities.
- Experience supporting or mentoring junior team members is preferred.
- Strong communication skills, with the ability to handle sensitive conversations professionally and clearly.
- Experience working closely with founders, senior leaders, entrepreneurs, or executive-level stakeholders.
- A practical, hands-on approach and willingness to work in a small team environment where responsibilities may vary.
- Fluency in Cantonese and English.
