About the Role HR DMS Replacement - OpenText
 
We are planning to replace an existing Digital Personnel File (HRDMS), currently based on ImageMaster from T-Systems and integrated with various SAP connections, with an OpenText platform.
Before implementation begins, a structured preliminary analysis will be conducted to evaluate the business, technical, and organisational landscape. The objective is to define a reliable target architecture and develop a comprehensive migration strategy that will serve as the foundation for a future transformation project.

Objective of the Assignment
The purpose of this engagement is to establish a solid foundation for a future transformation project by:

• Analysing the existing HRDMS solution.
• Gathering and documenting business and architectural requirements.
• Evaluating the current document management and archive structures.
• Developing the target architecture for the OpenText platform.
• Creating a migration strategy.
• Identifying project risks, dependencies, and effort estimates.
• Producing a management-ready target concept to support decision-making.

Required Profile

• Strong experience with OpenText ECM / Extended ECM.
• Knowledge of Document Management and Archiving, including ImageMaster.
• Strong SAP HCM / HR expertise (Mandatory).
• Experience delivering migration and transformation projects.
• Experience facilitating workshops and stakeholder interviews.
• Experience creating target architectures and management decision templates.

Key Responsibilities

• Conduct the preliminary analysis of the existing HRDMS environment.
• Analyse existing systems, software, and tools, and design new systems and architectural concepts.
• Gather business, functional, non-functional, and architectural requirements.
• Conduct stakeholder interviews and workshops.
• Document the current ("As-Is") environment.
• Evaluate existing document management and archive structures.
• Develop the future-state ("To-Be") OpenText target architecture.
• Design IT architecture paradigms, including:
  • Technology-neutral logical components
  • Service-Oriented Architecture (SOA)
  • Reference data models
• Coordinate and oversee the implementation of architectural standards across the organisation.
• Advise, design, and evaluate application, system, and infrastructure architectures throughout the Requirements Specification (RS) and Functional Specification Solution (FSS) phases.
• Conduct feasibility studies and support cost analysis.
• Define roadmaps for technical standardisation.
• Design IT services and contribute to the maintenance of service catalogues.
• Design tailored technical solutions by selecting the most appropriate platforms and technologies.
• Apply industry-specific knowledge where required to interpret business requirements and deliver appropriate solutions.
• Produce a migration roadmap and effort estimates.
• Identify project risks, dependencies, and implementation effort.
• Produce management-ready architecture and decision documentation.
• Create a Minimum Viable Product (MVP) on the OpenText platform.
• Focus on infrastructure architecture, including the analysis and design of technical environments.

Assignment Overview
 
This assignment focuses on the assessment and planning phase of a strategic HR digital transformation initiative. You will work closely with business and technical stakeholders to assess the current HRDMS landscape, define the future-state OpenText architecture, develop a migration strategy, estimate effort, identify risks and dependencies, and deliver the architectural foundation required for a future transformation project.
