As Executive Assistant to the CEO, you will play a pivotal role in enabling leadership effectiveness across the business. This is a high-trust position requiring you to manage competing priorities, maintain a strong operational rhythm, drive follow-through on commitments and act as a key connector across the CEO, Senior Leadership Team, internal teams and external stakeholders.
Key Responsibilities
- Provide proactive, end-to-end executive support to the CEO, including diary, priority, workflow and correspondence management.
- Support commercial activity across the senior leader leadership team; coordinate calendars and leadership meeting cadence, ensuring alignment with strategic priorities and the operational governance framework.
- Prepare meeting agendas, briefing packs, pre-read material, executive summaries and presentations.
- Maintain action registers, track decisions and commitments, and ensure appropriate follow-up across key initiatives.
- Coordinate and support monthly reporting and manage documentation for funding, investor and internal review processes.
- Track strategic initiatives, project milestones and critical timelines, escalating issues where required.
- Act as a central coordination point for internal and external stakeholders, representing the Senior Leadership Team with professionalism and discretion.
- Coordinate travel, site visits, leadership offsites, strategic planning sessions and external engagements.
- Maintain document control, secure filing practices and confidentiality across sensitive personnel, capital strategy and acquisition matters.
- Assist with reporting, presentations and monthly expense reconciliation as required.
This role will suit an experienced, commercially minded Executive Assistant who enjoys operating at pace, working closely with senior leaders and bringing structure to a complex, evolving environment. You will be confident managing sensitive information, anticipating needs before they arise and ensuring critical priorities do not lose momentum.
- At least five years' experience supporting C-suite or senior executives.
- Experience within property, construction, funds management or another capital-intensive, project-driven environment is highly regarded.
- Strong calendar, workflow and priority-management capability, with the confidence to manage competing demands.
- Demonstrated experience preparing executive reports, briefing packs, board or investor materials and presentations.
- Confident use of MS Office including AI and productivity tools, including Microsoft 365 Copilot, Claude, PowerPoint, Outlook and Excel.
- High levels of discretion, sound judgement and professionalism when dealing with confidential matters.
- Strong written communication skills and the ability to draft clear, polished executive correspondence.
- Exposure to investor or Board reporting, and project/document-control systems will be advantageous.
