Operations & Investment Management Administrator

About the Role

An excellent opportunity has arisen for an experienced Operations & Investment Administration professional to join the Portfolio Solutions team. This role is responsible for supporting institutional discretionary investment mandates across both operational and middle-office functions.

The successful candidate will oversee the end-to-end operational lifecycle of institutional investment portfolios, working closely with trust banks, custodians, fund administrators, and internal investment professionals to ensure efficient trade processing, portfolio monitoring, reporting, and regulatory compliance. The position also offers opportunities to contribute to operational enhancements and process improvement initiatives within a collaborative and growing investment platform.

Responsibilities

Investment Operations (Back Office)

• Execute trade operations for domestic private investment funds and offshore investment funds.
• Manage trade confirmation and settlement processes with trust banks and custodians.
• Coordinate operational workflows with trust banks, fund administrators, and other external service providers.
• Perform position and cash reconciliations.
• Validate NAVs and portfolio valuations.
• Calculate investment management fees and support invoicing processes.
• Maintain statutory records, operational documentation, and internal controls.
• Identify and implement process improvements to enhance operational efficiency.

Investment Administration (Middle Office)

• Monitor investment guidelines and perform compliance checks.
• Oversee portfolio positions and cash balances.
• Support portfolio valuation and position management activities.
• Prepare monthly, quarterly, and regulatory reporting for institutional clients.
• Assist with ongoing enhancement of operational processes and control frameworks.

Requirements

Essential

• Minimum three years' experience within an investment management company, asset management firm, trust bank, fund administrator, or similar financial institution.
• Practical experience supporting domestic and offshore investment funds.
• Strong understanding of institutional investment operations and fund administration.
• Proficiency in Microsoft Excel, including functions such as VLOOKUP/XLOOKUP, SUMIFS, PivotTables, and data analysis.
• Excellent attention to detail with the ability to manage multiple priorities in a deadline-driven environment.

Preferred

• Experience supporting institutional discretionary investment mandates.
• Experience with pension or trust account operations.
• Middle-office or investment operations experience supporting institutional investors.
• Experience producing investment and client reporting.
• Professional qualifications such as CMA or CFA are advantageous.
