Job Summary:
The CARE Contracts Specialist activates, manages, and analyzes maintenance service agreements within the CARE Service portfolio. The role reviews each agreement before activation to confirm financial accuracy, validate the signed contract against the digital record, and ensure invoicing reflects the full value of the services purchased. Working closely with Sales, Service, field, and Operations teams, the specialist applies strong analytical, financial, data-processing, and customer-support skills to keep agreements moving forward. Success requires sustained attention to detail, ownership of a steady workload, and the ability to manage approximately 50–70 agreements per month at full productivity.

The ideal candidate brings practical financial acumen and an understanding of billing fundamentals, including total contract value, invoiced amounts, and remaining balances. Experience in contracts or Salesforce is helpful but not required. Relevant backgrounds may include billing, invoicing, financial analysis, customer service, sales support, or contract administration. Industry experience is less important than a strong analytical and financial foundation. Equally important is a proactive, professional communication style. The strongest candidate will be comfortable connecting by phone, building productive internal relationships, and balancing detailed agreement review with responsive cross-functional support.

This role is critical to ensuring customers receive the services they purchased, maintaining Ingersoll Rand’s service excellence, and supporting the continued growth of its recurring-revenue Services business. It offers the opportunity to contribute within a strategic growth area while expanding alongside an evolving team. 

Responsibilities: 
  • Accurately establish, monitor, and manage contract information in contract administration systems, including Siebel, Salesforce, and SharePoint.
  • Setup invoicing according to contracts, manage recurring invoicing, and monitor invoice and revenue totals utilizing proper accounting practices.
  • Ensure documentation for contract modifications is accurate and complete.
  • Issue and support contract modifications and coordinate updates to all applicable systems.
  • Compile data for cost analysis and profitability tracking.
  • Enforce all Sarbanes-Oxley requirements.
  • Ensure accurate application of pricing increases and communicate effects.
  • Manage contract terminations process ensuring prompt and accurate financial reconciliation.
  • Manage contract renewal process.
  • Support all company goals for services contracts.
  • Respond to all customer issues in a professional and timely manner.

Requirements:
  • Associate degree or an equivalent combination of professional experience.
  • 5+ years of progressive professional experience supporting internal or external customers in customer service, sales, inside sales, direct sales support, billing, invoicing, financial analysis, contract administration, or a related function. 
  • 2+ years’ experience reviewing detailed business, customer, financial, billing, or contract-related records for accuracy. 
  • 2+ years of experience working cross-functionally with internal or external partners, such as communicating by phone and collaborating with sales, service, customer support, field, or operations teams to obtain information and resolve issues.
  • 1+ year of experience using CRM, ERP, contract management, billing, or comparable business system.

  • Applies excellent analytical skills and attention to detail to maintain financial accuracy, particularly in pricing, payment calculations, and customer invoicing.
  • Quickly learns new service offerings, systems, and technologies while resourcefully overcoming challenges.
  • Identifies system-processing issues, evaluates their potential business and customer impact, and raises concerns confidently and proactively.
  • Effectively resolves complex processing challenges involving pricing validation, payment calculations, and long-term contracted service scheduling.
  • Proficiency with Microsoft Excel, Outlook, SharePoint, or comparable productivity and data-management tools.

Preferences:
  • Bachelor’s degree in business, finance, accounting, economics, or a related field.
  • One or more years of experience using Salesforce.
  • Familiarity with financial metrics, accounting practices & processes, invoicing, and sales reporting.
  • Advanced database and analytic skills.
