Job Description
As a Team Administrator at Moore Australia (VIC/TAS), you will drive the operational success of two high-performing teams. You are responsible for providing Directors, clients, and stakeholders with exceptional support.

Job Requirements
Proven experience as a Team Administrator or Coordinator within a professional services environment, such as Accounting, Legal, or Consulting.
Specific experience coordinating formal tenders or bids is essential, understanding the urgency of a deadline and the structure of a formal submission.
Advanced use of Microsoft Office (Word, PowerPoint, Excel) is required. Experience with formatting tools highly advantageous.
Articulate written and verbal communication skills with the confidence to follow up with senior stakeholders for information.
Ability to manage competing priorities without compromising quality.
An exacting eye for detail regarding grammar and formatting. You take pride in producing work that is error-free and visually professional.
Job Responsibilities General Administration
Provide proactive diary management and inbox support by anticipating the needs of your Directors.
Deliver annual processes including client engagement letters and CRM and document management system reviews and updates.
Monthly client billing in conjunction with the Virtual Assistant including preparing, reviewing, adjusting, and sending client bills.
Act as a professional point of contact for clients to ensure their experience is exceptional.
Calendar support including booking meeting rooms, catering, preparing meeting materials and communicating with clients where required.
Ensuring appointments and travel are scheduled accurately and effectively
Provide support to the wider admin team including reception cover as required
Proposal & Tender Coordination
Coordinate the full proposal and tender lifecycle from receiving the request to final submission.
Partner with Directors to develop high-quality submissions that are tailored to client needs and sector requirements.
Structure content and ensure all documentation is impeccably formatted and strictly aligned with firm brand guidelines.
Maintain a centralised and up-to-date proposal content library (e.g. CVs, bios, case studies, policies, service offerings, etc.)
Track key timelines and submission deadlines to ensure the team remains on schedule.
Provide periodic reporting on proposal success rates, pipeline history, and process improvements.
