Position Overview

We are seeking an experienced HR Compliance Analyst to independently manage regulatory compliance activities for U.S. retirement plans, including Defined Benefit (DB), Defined Contribution (DC), VEBA, and Health & Welfare Benefit Plans.

This position is responsible for preparing, coordinating, and submitting required regulatory filings while ensuring adherence to ERISA, IRS, DOL, ACA, HIPAA, COBRA, FMLA, and applicable state regulations. The HR Compliance Analyst will work cross-functionally with HR, Legal, Finance, auditors, third-party administrators, and other stakeholders to maintain compliance, mitigate risk, and ensure audit readiness.

  • Schedule: Monday – Friday, 8:00 AM – 5:00 PM
  • Shift: 1st Shift
  • Work Model: Hybrid – 3 days onsite / 2 days remote

Key Responsibilities

Regulatory Filings & Benefits Compliance

  • Manage the preparation, coordination, and submission of IRS Form 5500 filings, including applicable schedules, across benefit plans.
  • Support SEC Form 11-K filings and ensure alignment with required financial disclosures.
  • Ensure compliance with applicable regulations, including:
    • ERISA
    • IRS requirements
    • Department of Labor (DOL) regulations
    • Affordable Care Act (ACA)
    • HIPAA
    • COBRA
    • FMLA
    • State disability regulations
  • Support ACA reporting, including IRS Forms 1094-B/C and 1095-B/C.
  • Coordinate applicable state disability filings.
  • Maintain and update Summary Plan Descriptions (SPDs), ACA Summaries of Benefits and Coverage (Clients), and other required disclosures.
  • Monitor regulatory changes and implement necessary updates to policies, processes, and documentation.
  • Maintain a comprehensive compliance calendar to track regulatory deadlines and deliverables.

Audit & Risk Management

  • Support internal and external audits for employee benefit plans.
  • Coordinate and complete audits prior to regulated deadlines, including audits of retirement plan financial statements.
  • Manage audit findings and associated remediation activities.
  • Analyze and validate plan data to ensure accuracy and integrity across regulatory filings and supporting documentation.
  • Identify potential compliance risks and work with appropriate stakeholders to address them.
  • Maintain audit-ready records and documentation.

Cross-Functional Collaboration & Process Improvement

  • Partner with third-party administrators (TPAs), auditors, legal counsel, HR, Finance, and other internal stakeholders to ensure accurate and timely submissions.
  • Drive process improvements related to benefits compliance and regulatory reporting.
  • Develop and maintain compliance reporting and performance metrics.
  • Support enterprise governance and compliance processes.

Basic Qualifications

  • Bachelor's degree in Accounting, Finance, Business, or a related field.
  • 3+ years of experience in Accounting and Auditing.
  • Experience with public company financial statements preferred.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent attention to detail and commitment to accuracy.
  • Ability to independently manage multiple priorities and regulatory deadlines.

Preferred Qualifications

  • Experience with benefits compliance, ERISA, retirement plans, or Health & Welfare plans.
  • Experience managing or supporting IRS Form 5500 filings.
  • Knowledge of U.S. benefits regulations, including ERISA, IRS, DOL, ACA, HIPAA, and COBRA.
  • Experience supporting SEC Form 11-K filings.
  • Familiarity with ACA reporting, including Forms 1094-B/C and 1095-B/C.
  • Experience supporting audits of employee benefit plans.
  • Experience with HRIS or benefits platforms such as Workday, SAP, or ADP.
