Position Title: Practice Administrator
Key Responsibilities:
Manage the client portal in Nimbus, including uploading/downloading documents, assisting clients with portal use, and following up document approvals within required timeframes.
Prepare annual trust distribution minutes.
Manage ATO lodgements and reporting.
Liaise with the ATO as required and manage related documentation through SmartDocs.
Maintain and update client database in MPM, including setting up new clients and processing changes to client details.
Review and manage WIP (work in progress), assist with preparation of invoices, and process write-offs.
Manage debtors, including receipting and preparation of debtor reports.
Provide administrative support to the superannuation division, ensuring compliance with documentation and deadlines.
Collaborate with the other Practice Administrator to support smooth day-to-day office operations.
Manage document filing and storage through the Nimbus system.
Oversee SmartDocs for efficient handling of client tax documentation.
What you’ll do:
Manage client portals in Nimbus and assist clients with document access.
Prepare trust distribution minutes and assist with ATO lodgements.
Maintain client data in MPM and support invoicing, WIP, and debtor management.
Provide admin support to the superannuation division.
Work closely with our other administrator to keep the practice running smoothly.
What you’ll bring:
Previous admin experience in an accounting or professional services firm.
Strong organisation and time management skills.
Experience with MPM, Nimbus, SmartDocs (or similar systems).
Clear communication, accuracy, and initiative.

About the role
As the successful Practice Administrator, you will be an invaluable member of the Davidson Advisory Services. Reporting to the Partners, you will hold end to end responsibility for the office support duties. You will provide a broad range of administrative support to the firm partners and the wider team.
While working in a busy and dynamic team, you will be proactive and able to assist the team in various duties and your responsibilities will include:
Client Related tasks:
Manage the client portal in Nimbus, including uploading/downloading documents, assisting clients with portal use, and following up document approvals within required timeframes.

Administrative tasks:
On-going management of our client database
Client onboarding and offboarding, including all required correspondence
Maintain admin and accounts mailbox for all client queries and correspondence
Maintain records and data integrity with a high attention to detail
Respond Staff queries/issues on IT/apps/processes, responding to the queries or coordinating input to assist in resolving any issues that arise in day-to-day operations
Monitor practice KPIs and ATO compliance managements ensuring deadlines are met
Have the ability to interpret reports and highlight inconsistencies to validate and correct input data as required
Contribute to the development and implementation of office policies and procedures
Identify opportunities for process improvements and implement efficient solutions
Maintain a high level of confidentiality and discretion when handling sensitive information
Skills & Experience
Candidate with experience in a similar role or administration for an accounting firm would be highly regarded, along with:

Excellent written and verbal communication skills and ability to liaise with a variety of stakeholders

Superior time management skills
Proven organisational skills, ability to prioritise and manage multiple tasks to meet deadlines
Be highly adaptable and responsive to pace and change
Demonstrated initiative and proactivity
Experience in ATO processes: Add/remove clients lodgments, BAS/IAS, NOAs; apply for TFN/ABN, GIC remission
Experience with MYOB Practice Management(MPM) and Nimbus
Driver's license & own transport (essential)
