Location: Hybrid (3 days onsite / 2 days remote, based on business needs)
Schedule: Monday – Friday, 8:00 AM – 5:00 PM
Position Summary
We are seeking a customer-focused Licensing Customer Service Representative to provide front office administrative support and assist licensees with renewal applications and licensing portal inquiries. This role serves as the primary point of contact for renewal-related questions, helping customers navigate the online licensing portal while delivering exceptional customer service through phone, email, and voicemail support.
The ideal candidate is detail-oriented, an effective multitasker, and has excellent communication skills. This position also provides administrative support and cross-functional assistance to ensure efficient daily operations.
Key Responsibilities
- Answer incoming calls regarding license renewals, portal login issues, and general licensing questions.
- Respond promptly to voicemail messages and licensing email inquiries.
- Assist customers with navigating the online renewal portal, including login assistance, account access, payment questions, and troubleshooting.
- Provide accurate information regarding licensing procedures and renewal requirements.
- Escalate complex inquiries to the Licensing Manager or appropriate staff when necessary.
- Assist with renewal processing and licensing support as workload permits.
- Perform general administrative duties including data entry, filing, recordkeeping, and correspondence.
- Maintain accurate records of customer inquiries, call volume, and resolution outcomes.
- Provide administrative support to other departments as needed.
Required Qualifications
- Strong multitasking abilities.

- Strong verbal and written communication skills.
- Previous customer service experience.
- Basic administrative and office experience.
- Ability to work independently while managing multiple priorities.
- Proficiency with standard office software and office equipment.
- Ability to maintain confidentiality and handle sensitive information professionally.
Preferred Qualifications
- Proficiency with Microsoft Word.
- Strong email communication skills.
- Experience working with Adobe Acrobat/PDF documents.
- Previous experience supporting licensing, permitting, government, or administrative offices is a plus.
