The Opportunity
We are seeking a highly polished, proactive, and intelligent Executive Assistant to support a senior-level executive at a premier, high-intensity alternative investment management firm in New York City. The ideal candidate acts as a strategic gatekeeper and an extension of the executive, anticipating needs before they arise and ensuring the seamless operation of a complex, fast-paced professional schedule.
This role requires a unique balance of professional polish and high emotional intelligence. You will serve as the primary point of contact for internal and external stakeholders, balancing competing priorities with grace, discretion, and efficiency.
Core Responsibilities
Strategic Gatekeeping: Manage access to the executive, prioritizing internal and external meeting requests based on business impact and urgency. Ensure all stakeholders feel valued while maintaining strict time management.
Proactive Calendar Management: Maintain a dynamic calendar, anticipating conflicts and ensuring the executive is prepared for all commitments. This includes proactively blocking time for meeting preparation and providing timely reminders and necessary materials.
Communication & Email Filtering: Manage incoming correspondence with high discretion. Monitor the executive’s inbox to filter spam/non-critical items and ensure urgent matters are surfaced in real-time.
Administrative Execution: Handle electronic document signing processes (Adobe) and provide operational support as needed, demonstrating flexibility and a "no job too small" attitude.
Stakeholder Relations: Serve as a brand ambassador for the executive, maintaining a demeanor that is professional, approachable, and "likable" while maintaining appropriate workplace boundaries.
Qualifications
Experience: Proven experience supporting senior-level executives, ideally within financial services, alternative investments, or a similarly fast-paced, high-intensity professional environment.
Intellectual Agility: A demonstrated ability to think for the executive, anticipate needs, and make independent judgments regarding prioritization.
Communication Style: Exceptionally high emotional intelligence with a professional, balanced demeanor. You are approachable and collaborative without being overly casual or gossipy.
Professional Maturity: Ability to handle sensitive information with complete confidentiality and navigate the intensity of a high-stakes office environment.
Education: Bachelor’s degree preferred, or a combination of relevant professional certification (e.g., secretarial/administrative training) and experience.
Technical Literacy: Proficiency in MS Office/Google Workspace and experience with electronic signature software.
