Apply directEMEA Recruitment has partnered with a leading international organization in its search for an Executive Assistant (German and English speaking) to support senior leadership operations within its Swiss office.
Our client is experiencing continued growth across its international business activities and is seeking a highly organized, proactive, and professional Executive Assistant to provide high-level support to senior management in a fast-paced and dynamic environment.
As Executive Assistant, you will play a key role in ensuring smooth day-to-day coordination across schedules, travel, communication, and administrative activities, while acting as a trusted support partner to leadership.
You'll take ownership of complex calendar coordination, international travel arrangements, stakeholder communication, and executive administration, while supporting operational efficiency and maintaining a high level of discretion and professionalism across all activities.
This role is based in Schindellegi, Switzerland, with an on-site working model and occasional international travel requirements.
The main responsibilities of the Executive Assistant include:
- Managing and coordinating complex calendars, appointments, meetings, and daily scheduling activities for senior leadership
- Organizing international travel arrangements, including itineraries, accommodation, transportation, and visa coordination
- Acting as a central communication point for schedule updates, meeting coordination, and priority management across internal and external stakeholders
- Anticipating operational needs and proactively resolving scheduling or administrative challenges to support smooth daily operations
- Preparing and maintaining meeting documentation, correspondence, reports, presentations, and filing systems in an accurate and organized manner
- Screening and managing incoming calls, emails, and visitor communications with professionalism and confidentiality
- Conducting research and coordinating follow-up activities requiring detailed information gathering and stakeholder interaction
- Supporting special projects and additional executive requests as required within a fast-paced international environment
Technical skills:
- Fluency in German and English is essential - French would be considered advantageous
- Previous experience within Executive Assistant, Administrative Support, Project Coordination, or similar Business Support functions
- Commercial diploma (KV), Business Administration degree, or equivalent educational background preferred
- Strong organizational skills with the ability to manage multiple priorities and maintain high attention to detail
- Confident user of Microsoft Office, Google Workspace, Adobe tools, and general business systems
- Proactive, adaptable, and capable of working both independently and collaboratively within an international environment
