The Opportunity
This is far more than a traditional administration role.
As the Building Services Administrator | Service Coordinator, you'll be the operational backbone of the Building Services team, playing a pivotal role in ensuring maintenance services, projects and customer requests are delivered efficiently from start to finish.
Working closely with operational managers, technicians, subcontractors and clients, you'll coordinate service delivery, manage competing priorities and help keep daily operations running seamlessly.
This is a fast-paced, highly varied role where no two days are the same. Your ability to stay organised, think ahead and build strong working relationships will have a direct impact on the success of the team and the service delivered to clients.

Key Responsibilities
- Coordinate maintenance service requests and allocate work orders
- Schedule technicians and monitor job progress through to completion
- Provide administrative support across the Maintenance, Projects and Restoration teams
- Coordinate contractor inductions, site access and compliance requirements
- Assist with procurement administration, supplier onboarding and invoice processing
- Support the preparation and administration of contracts and service agreements
- Maintain compliance documentation, operational records and asset registers
- Build strong relationships with clients, subcontractors and internal stakeholders to ensure exceptional service delivery.
About You
You'll be a highly organised and proactive professional who enjoys working in a busy operational environment and takes pride in delivering exceptional customer service.
Ideally, you'll have experience within facilities management, building maintenance, construction, property services or another fast-paced service industry.
To succeed in this role, you'll bring:
- Previous administration or service coordination experience
- Outstanding organisational and time management skills
- Exceptional attention to detail and accuracy
- Strong written and verbal communication skills
- Experience using job management software such as AroFlo or similar (highly regarded)
- Proficiency in the Microsoft Office Suite
- The ability to manage multiple priorities while maintaining exceptional customer service
- A positive, proactive attitude with a genuine team-first approach
