We are seeking a Software License Manager to take ownership of end-to-end software license compliance across the organisation’s technology estate. The role will be responsible for managing software licensing, ensuring compliance with contractual and vendor requirements, optimising software utilisation, and identifying opportunities to reduce licensing costs.
The successful candidate will work closely with IT, Procurement, Finance, vendors, and the wider user community to ensure software assets are effectively managed throughout their lifecycle.
Key Responsibilities
- Own and manage end-to-end software license compliance across the technology estate, ensuring software deployments remain aligned with contractual entitlements and licensing requirements.
- Manage and maintain the ServiceNow (SNOW) Software Asset Management / License Management platform, ensuring accurate, complete, and up-to-date licensing data.
- Maintain a strong understanding of software licensing models, vendor licensing rules, contractual obligations, and compliance implications across a range of software vendors.
- Monitor software usage, metering, deployment, and utilisation to identify opportunities to optimise license consumption and reduce unnecessary costs.
- Design, implement, and continuously improve software licensing processes, controls, and best practices to support effective governance and cost optimisation.
- Provide advice and guidance to IT teams and end users on software procurement, licensing requirements, deployment, and utilisation.
- Manage the software asset lifecycle, from initial request and procurement through deployment, renewal, optimisation, and retirement.
- Conduct regular software license audits across the estate, comparing software deployments against contractual entitlements and identifying any compliance gaps, over-licensing, or under-utilisation.
- Analyse contractual, commercial, and financial information to establish and report the organisation’s Effective License Position (ELP).
- Maintain accurate records of all software products, versions, installations, volumes, entitlements, and associated licensing information.
- Maintain and govern a central repository of Proof of License (PoL) documentation and supporting contractual evidence.
- Support vendor audits and licensing reviews, providing accurate data and evidence to demonstrate compliance.
- Produce regular management reporting and dashboards covering license position, compliance risks, utilisation, renewals, costs, and optimisation opportunities.
- Identify and proactively manage licensing risks, escalating material compliance or financial exposures where appropriate.
- Work collaboratively with Procurement, Finance, IT Service Management, Architecture, Security, and software vendors to ensure licensing decisions are commercially and operationally sound.
- Maintain and continuously improve process, policy, and procedural documentation relating to software asset and license management.
- Ensure software license management activities are aligned with relevant IT governance, risk, compliance, and internal control frameworks.
