Apply directHorizon Recruitment is recruiting for a growing boutique accounting, tax and advisory firm in Langley, BC that works with private corporations, business owners, professionals and high-net-worth families across Western Canada. As the firm's tax practice continues to grow, it needs a highly capable Adminitrative Assistant, Tax Practice to help keep client work, deadlines and communication organized and moving forward. This is more than a traditional administrative support position. You will work closely with the firm's partners and tax professionals, coordinating client files, tracking tax projects and deadlines, communicating with clients and the CRA, and making sure important details do not fall through the cracks. The right person will be exceptionally organized, comfortable managing competing priorities and confident communicating with senior professionals and clients. You do not need to be a tax professional, but you will need to become comfortable with tax terminology, processes and deadlines so you can anticipate what the team needs and help keep the practice running smoothly.
Responsibilities
- Coordinate tax engagements and projects from initial request through completion, keeping tasks, deadlines and next steps visible
- Work closely with partners and tax professionals to prioritize client work and follow up on outstanding items
- Maintain tax calendars, project trackers and workflow schedules for recurring and one-time client matters
- Communicate with clients to request information, provide status updates, coordinate signatures and follow up on outstanding documentation
- Liaise with the Canada Revenue Agency on routine client matters, correspondence, account inquiries and document requests
- Track CRA notices, requests and deadlines and make sure appropriate team members are aware of required actions
- Monitor client files and proactively identify missing information, upcoming deadlines or items requiring follow-up
- Coordinate the preparation, review, signature and submission of tax-related documents and correspondence
- Maintain accurate electronic client files, records and supporting documentation
- Prepare correspondence, reports, spreadsheets, presentations and other materials for partners and the tax team
- Coordinate meetings, calls and follow-up items involving clients, partners and external advisors
- Help improve administrative processes, templates, tracking tools and workflows as the tax practice grows
- Support billing, engagement administration and other practice management activities as required
- Act as a reliable point of coordination for the tax team, taking ownership of details and helping ensure commitments are completed on time
Requirements
- 5+ years of experience in a senior administrative, project coordination, professional services or similar role
- Strong project coordination skills with demonstrated ability to track multiple files, deadlines and stakeholders at the same time
- Exceptional organizational skills and attention to detail
- Advanced proficiency with Microsoft Office, particularly Outlook, Word and Excel
- Strong written and verbal communication skills
- Confidence communicating professionally with clients, senior leaders and external organizations
- Ability to follow up persistently and professionally to keep work moving
- Strong judgment and the ability to determine what requires immediate attention and what can be handled independently
- Comfortable working with detailed documents, deadlines and process-driven work
- Ability to learn tax terminology, CRA processes and the workflow of a professional tax practice
- High level of discretion when working with confidential client, financial and personal information
- Experience in an accounting, tax, legal, financial services or other professional services environment is strongly preferred
- Previous experience communicating with the CRA or working with tax-related documentation is an asset
- Experience with CaseWare, Taxprep, document management systems or similar professional practice software is an asset
- A proactive approach - someone who looks ahead, follows through and takes ownership rather than waiting to be directed
Remuneration
- Base salary of $70,000-$80,000, depending on experience
