A unique temporary opportunity has opened for a highly organised and professional Junior Executive Assistant to join a purpose-driven organisation operating within a complex and meaningful environment. About the Role
Reporting directly to the General Manager, you will serve as the central coordination point for all executive activity including, managing the GM's diary, communications, and stakeholder interface with precision, professionalism, and sound judgement.
This is a hit the ground running position and demands someone who can hold complexity calmly. You'll be preparing reports, coordinating meetings across a senior leadership team, managing correspondence from officials and departments, and keeping the GM's world running smoothly.
Key Responsibilities
- Manage all written correspondence and communications on behalf of the General Manager
- Coordinate diary, appointments, and meeting schedules with sound judgement around priorities
- Attend and minute a range of executive and leadership meetings; prepare agendas and presentations
- Prepare and coordinate reports including monthly and quarterly government submissions
- Arrange travel schedules, travel request forms, and accommodation for centre staff
- Draft correspondence and communications on behalf of the GM for internal and external parties
- Coordinate centre functions, events, and leadership forums
- Support the Senior Leadership Team across meetings, events, and operational requirements
- Assist HR with the coordination of employee recognition programs
- Maintain accurate records, filing systems, and schedules
- Prepare promotional and news-related content for corporate, government, and internal stakeholders
- Ensure compliance with company policies, procedures, and governance requirements
- Minimum of one years' experience in an executive assistant or senior administrative support role
- Highly developed organisational skills with the ability to manage competing, time-sensitive priorities
- Advanced Microsoft Office skills across Word, Excel, and Publisher
- Strong written and verbal communication skills with the confidence to liaise at all levels, including with senior government officials
- A professional presentation and a genuine understanding of discretion and confidentiality
- Ability to exercise initiative and sound judgement when handling complex or sensitive matters
- Comfortable working within a structured, compliance-driven environment
- Certificate IV in Business Administration desirable
- Valid full Australian driver's licence and ability to obtain and maintain a security clearance
- Must be willing to undergo a National Criminal History Check
