Yoh Life Sciences is hiring for a Project Coordinator in Houston, TX. This role will be a hands-on role supporting projects and coordinating across Engineering, Procurement, vendors, fabricators, and clients within the energy industry. The Project Coordinator / Document Control professional with 5+ years of oil & gas, engineering, or EPC experience. Strong background in SDRL/MDR management, EDMS administration, project schedules, POs, bid packages & vendor coordination, revision control, transmittals, FAT/ITP and project close-out documentation.

Shift: M-F 8-5pm
Responsibilities:
Project Coordination
• Communicate with Engineering and Projects to assist in the preparation of material requisitions for the procurement of materials and equipment, and to process these requisitions accurately and on schedule.
• Form bid packages and issue bid requests; coordinate bidders’ questions and receive bidder proposals.
• Track project schedules and assist the Director and Project Managers with cost estimations by requesting bids and quotes.
• Expedite orders to ensure timely delivery of components and materials to meet project schedules; provide early warning of supplier deficiencies or schedule slippage.
• Track milestones, deadlines, deliverables, and contract status throughout the lifecycle of each project.
• Generate requisitions, create and track purchase orders; monitor purchase order/work order status, delivery timelines, and service completion.
• Initiate and manage the vendor onboarding process, ensuring proper forms, templates, and documents are received and on file.
• Work closely with internal teams (engineering, procurement, finance, and project management) to resolve invoice discrepancies or documentation gaps.
Document Control
• Establish and maintain document control procedures and the electronic document management system (EDMS) for project documentation.
• Prepare and maintain the Supplier Document Requirements List (SDRL) and Master Document Register (MDR), tracking submittals, review cycles, and approvals through to closure.
• Assign and maintain document numbering, revision control, and transmittal logs for engineering drawings, specifications, procedures, and vendor data.
• Coordinate document review and approval workflows, routing deliverables to the correct internal and external stakeholders and tracking turnaround against schedule.
• Maintain distribution matrices and access controls to ensure only current, approved revisions are in circulation.
• Ensure incoming and outgoing documents meet client-specific formatting, numbering, and submission requirements.
• Track redlines and markups, incorporate approved revisions, and issue updated controlled copies to all stakeholders.
• Maintain document retention and archiving practices consistent with company and client requirements; support internal and client audits as needed.
• Compile project close-out documentation packages, including as-built drawings, O&M manuals, and final data books.
Education
• Associate degree, technical certification, or equivalent combination of education and experience required.
• Formal document control training or certification (e.g., AIIM, EDMS-specific certification) is a plus.
Experience
• Minimum of 5 years of experience as a Project Coordinator, Document Controller, or similar role within the oil and gas, engineering, or EPC industry.
• Direct experience maintaining an SDRL/MDR and administering an EDMS platform (e.g., Aconex, ProjectWise, SharePoint, Livelink, or similar) strongly preferred.
