About the Role
Our client is a long established international B2B events business, recognised as a trusted voice in the infrastructure and technology sector. Its global portfolio of large scale conferences and exhibitions run around the globe.
This is an excellent opportunity to join the international operations team in Madrid, working alongside an experienced Event Operations Manager. You will play a hands on role in delivering large scale events, with a particular focus on sponsor and exhibitor operations, event administration and logistics.
The business genuinely invests in its people and many of their vacancies were filled internally last year, so if you are ambitious and keen to build a long term career in event operations, there is real room to grow.
What the Role Involves
- Supporting the planning, coordination and delivery of events across an international portfolio
- Managing sponsor and exhibitor onboarding, including registrations, badge allocations, branding assets and contractual deliverables
- Keeping sponsor information accurate across event systems, websites, exhibitor listings and trackers
- Following up on outstanding sponsor deliverables and escalating issues where needed
- Coordinating sponsor signage, from content collection and proofing through to approvals
- Assisting with floorplan administration and exhibitor allocations
- Preparing key event documentation, including sponsor manuals, exhibitor guides, schedules and onsite packs
- Handling purchase orders, logistics and general event administration
- Supporting the delivery of networking functions, private dinners and hospitality experiences
- Helping to run the onsite organisers’ office and supporting temporary staff during live events
- Contributing to post event reporting and continuous improvement
What You Will Need
- Fluent English Spanish, and Portuguese would be useful
- One plus year of event operations experience
- Excellent organisation and attention to detail, with the ability to juggle multiple deadlines
- A calm, professional and solutions focused approach under pressure
- Strong written and verbal communication skills, and confidence working with senior stakeholders
- Proficiency in Microsoft Office and G Suite, particularly Excel and Google Sheets
- Willingness to travel internationally, especially Latam region, and to work some evenings and weekends around events
- Able to work from Madrid office 2- 3 days each week.
