Our client is a highly regarded international Intellectual Property firm, advising leading local and global clients across Trade Marks, Patents and Intellectual Property law. This exciting role will see you lead and co-ordinate a team of seven, overseeing the smooth day-to-day delivery of trade mark administration, records and filing services across a busy and highly regarded Trade Marks practice.

Reporting to the Operations Manager, you will combine people leadership, workflow coordination and hands-on operational support, while also playing an important role in improving systems, processes and service delivery across the firm.

Your role will include (but not be limited to)

• Leading, supporting and mentoring a team of seven administrative professionals
• Coordinating workloads, priorities, leave coverage and team resourcing
• Overseeing trade mark records, filing workflows and associated administrative processes
• Monitoring deadlines and workflow volumes to ensure matters are completed accurately and on time
• Providing hands-on operational support to the team when required
• Maintaining the accuracy and integrity of trade mark records and data
• Identifying opportunities to streamline and improve existing processes
• Supporting automation, system enhancements and change initiatives
• Assisting with training, cross-skilling and ongoing development of team members
• Acting as a key point of contact for operational and administrative trade mark enquiries
• Building strong working relationships with Trade Mark Attorneys, Principals and other internal stakeholders
• Liaising with relevant IP offices, external agents and service providers
• Contributing to operational reporting and continuous improvement initiatives

About you
Ideally, you will bring experience gained as a Legal Assistant and/or Intellectual Property or Trade Marks admin experience, together with previous experience leading, supervising or co-ordinating others.

You will also demonstrate:

• Strong organisational and workflow management skills
• Previous experience supervising, mentoring or coordinating a team
• The ability to manage competing priorities and critical deadlines
• Exceptional attention to detail and accuracy
• A proactive and solutions-focused approach
• Strong communication and stakeholder management skills
• Confidence working with high-volume records, documents and administrative workflows
• An interest in process improvement, technology and automation
• A collaborative, positive and adaptable working style

Experience using Inprotech, iManage or similar records, workflow or practice management systems will be highly regarded, but not essential.
