Job Description:                                                          
The Repair Operations Coordinator plays a vital role within the Maintenance, Repair, and Overhaul (MRO) function, supporting the end-to-end execution of repair activities for aerospace components. This position serves as a key interface between customers, operations, engineering, and logistics, ensuring accurate documentation, regulatory compliance, and proactive communication throughout the repair lifecycle.  
 
The role requires strong systems proficiency, attention to detail, and the ability to manage competing priorities in a highly regulated, time-sensitive environment, including support of AOG (Aircraft on Ground) situations.
 
PRIMARY RESPONSIBILITIES: 
 
  1. Coordinate the full lifecycle of repair orders, including intake, evaluation, quotation support, execution tracking, and final shipment, ensuring alignment with customer requirements and contractual obligations.
  2. Generate, review, and manage repair documentation packages, including work orders, invoices, certifications, shipping documentation, and traceability records, ensuring compliance with FAA/EASA and internal quality standards.
  3. Act as a customer-facing liaison, providing timely and accurate updates on repair status, pricing, warranty determinations, turnaround times, and escalation of critical issues (including AOG prioritization).
  4. Monitor and manage high-volume communications (email and portals), prioritizing urgent requests and ensuring responsiveness aligned with service-level expectations.
  5. Maintain and update customer-specific web portals and internal systems, ensuring data integrity and real-time visibility into repair status.
  6. Partner with internal departments (engineering, production, quality, and logistics) to resolve discrepancies, expedite orders, and improve workflow efficiency.
  7. Manage digital documentation processes, including scanning, indexing, and record retention in accordance with company standards.
  8. Identify opportunities to improve administrative, reporting, and communication processes within the Repairs function.
  9. Perform additional duties and special projects as assigned to support operational goals.
 
REQUIRED SKILLS & QUALIFICATIONS: 
 
  1. Strong customer relationship skills with the ability to communicate professionally across all organizational levels and with external clients.
  2. Excellent written and verbal communication skills, with attention to detail and clarity in technical and service-related correspondence.
  3. Advanced organizational and time-management abilities, with proven capability to prioritize and manage multiple concurrent tasks in a fast-paced environment
  4. Proficiency in business systems and software, including Microsoft Office Suite and Outlook; ability to quickly learn and effectively utilize ERP systems (IFS experience a plus).
  5. Demonstrated ability to work with data beyond entry—ensuring accuracy, identifying inconsistencies, and supporting process improvements.
  6. Strong analytical and problem-solving skills, with the ability to follow workflows, identify issues, and coordinate resolutions.
  7. Experience managing or working within customer portals or similar digital platforms is preferred.
  8. High level of accuracy and attention to detail in documentation and system updates.
  9. Ability to adapt to changing priorities and support time-sensitive requests, including AOG situations.
 
PREFERRED QUALIFICATIONS: 
  1. Experience in FAA Part 145 Repair Station or similar regulated environment.
  2. Familiarity with aircraft component repair, rotable inventory, or aviation supply chain processes.
  3. Experience supporting program contracts or OEM customer requirements.
