Position Summary
The Timekeeping Associate is responsible for ensuring the accurate and timely recording of employee work hours, attendance, and leave information. This role supports payroll operations by maintaining timekeeping systems, resolving discrepancies, auditing time records, and providing excellent customer service to employees and managers regarding timekeeping-related inquiries.
The ideal candidate is detail-oriented, organized, and capable of managing multiple priorities while ensuring compliance with company policies and applicable labor regulations.
Key Responsibilities
Timekeeping Administration
- Monitor and maintain employee time and attendance records within the timekeeping system.
- Review and audit employee time entries for accuracy, completeness, and compliance with company policies.
- Ensure employee work hours, leave balances, and attendance records are accurately maintained.
Employee & Manager Support
- Assist employees and managers with timekeeping-related questions and issues.
- Support timecard corrections, approvals, and system navigation.
- Provide timely and professional customer service regarding attendance and payroll-related inquiries.
Payroll & HR Support
- Collaborate with Payroll and Human Resources teams to ensure accurate integration of timekeeping data into payroll processing.
- Assist with resolving timekeeping discrepancies prior to payroll processing.
- Support compliance with company policies and wage and hour requirements.
Reporting & Auditing
- Generate and distribute timekeeping reports for management review and internal audits.
- Audit timekeeping records to identify errors, inconsistencies, or compliance concerns.
- Assist with data validation and reporting requests.
Training & Process Support
- Support onboarding activities related to timekeeping systems and procedures.
- Provide guidance and training to employees and managers on timekeeping processes.
- Identify opportunities for process improvements and increased efficiency.
Compliance & Data Integrity
- Identify and escalate system issues, policy violations, or compliance concerns to appropriate stakeholders.
- Maintain confidentiality of employee records and sensitive information.
- Ensure adherence to company policies and data privacy standards.
Required Qualifications
Education
- High School Diploma or equivalent required.
- Associate Degree or higher preferred.
Experience
- 1–2 years of experience in:
- Payroll Administration
- Timekeeping
- Human Resources Administration
- Workforce Management
- Experience supporting employee time and attendance systems preferred.

- Knowledge of federal and state labor laws related to:
- Timekeeping
- Attendance
- Wage and Hour Compliance
- Bilingual (English/Spanish) preferred.
