Apply directWe are looking for an organised, numerate and detail-focused Purchasing & Stock Coordinator to join a busy team and take ownership of stock monitoring, purchasing and supplier orders.
This is a key role within the business, ensuring customers have the stock they need while working closely with suppliers, freight forwarders and internal teams.
You will monitor customer stock levels and usage, identify when replenishment is required and manage purchase orders through to delivery. Accuracy is particularly important, as you will be responsible for ensuring purchase and sales orders contain the correct pricing, quantities, customer information and import/export documentation.
Over time, you will develop responsibility for one or two key supplier categories, taking ownership of everything from stock levels and pricing through to supplier relationships and resolving any issues.
Key Responsibilities
Monitor customer stock levels and usage to identify replenishment requirements.
Raise, place and track purchase orders with US-based suppliers.
Prepare and issue accurate sales orders, ensuring correct pricing, quantities and customer details.
Check pricing on all purchase and sales orders against current price lists and contracts.
Maintain accurate purchasing, sales and stock records.
Monitor outstanding purchase orders and proactively chase delayed or overdue deliveries.
Create delivery notes and invoices and resolve discrepancies where required.
Liaise with freight forwarders regarding shipping arrangements for international orders.
Provide shipping documentation and information required for US-origin shipments.
Communicate with suppliers regarding order status, lead times and potential delays.
Communicate with customers regarding stock consumption and forecasts.
Support the finance team with purchasing and invoice queries.
Take ownership of assigned supplier categories, including stock, ordering, pricing, delivery and issue resolution.
Ensure import/export documentation contains the correct wording and codes.
Provide general administrative support to the logistics and purchasing function.
About You
We're looking for someone who is highly organised, dependable and genuinely enjoys working with detail and numbers.
You will naturally check your own work and understand how important accuracy is when dealing with customer orders, pricing and supplier information.
You should be confident using Excel and comfortable managing multiple orders and priorities at the same time.
Ideally, You Will Have
2–4 years' experience in purchasing, sales order processing, stock/inventory administration, logistics or a finance/accounts environment.
Excellent attention to detail and a methodical approach to checking work.
Strong Excel skills, including formulas, lookups, pivot tables and data validation.
Good numerical and analytical ability.
Experience working with pricing, purchase orders or sales orders.
Excellent organisational and time-management skills.
Strong written and verbal communication skills.
Confidence communicating with suppliers and customers and chasing outstanding orders.
The ability to identify discrepancies and take ownership of resolving them.
An understanding of import/export processes would be useful, although training can be provided.
Experience dealing with US suppliers or international purchasing would be advantageous but is not essential.

Errors are identified and corrected before documents leave the business.
Working Hours
Monday to Friday, 8:30am – 5:00pm, with a 30-minute lunch break.
This is a full-time, office-based position.
