Contract Administrator - Hospitality and Retail Fit Outs

Our client delivers projects across retail, hospitality, and office fit-out sectors, they're currently seeking an experienced Contract Administrator to join their delivery team.

This is a commercial role for someone who thrives on detail, owns the numbers, and knows how to keep a project's finances, documentation, and stakeholder relationships tight from kickoff to handover. You'll work in close partnership with the Project Manager, across multiple concurrent projects and as the key point of contact between the business, clients, suppliers, and subcontractors.

• Set up and manage project budgets in consultation with the Contracts Manager and Project Manager
• Produce, issue, and track Purchase Orders against scope, program, and trading terms
• Assess and process subcontractor and supplier invoices, applying correct project and cost-centre coding
• Prepare, log, and manage client and supplier variations end-to-end, including approvals and invoicing instructions
• Deliver clear, accurate financial reporting into weekly project and operations meetings
• Manage RFIs, EOTs, and NODs from issue through to close-out
• Coordinate building permits, procurement schedules and project programs

What You'll Bring

• 3–5 years' experience in a Contract Administrator or similar commercial construction role
• Procore and MYOB experience is essential
• Strong commercial and financial literacy, confident tracking, forecasting, and reporting on project budgets
• Excellent attention to detail across documentation, scope of works, quotations, and specifications
• Strong negotiation skills, with the ability to secure agreement on cost and timing
• Clear, professional written and verbal communication
• Highly organised, with the ability to plan and coordinate multiple projects simultaneously
• A proactive, solutions-focused approach and a genuine sense of team
• Food retail project experience is an advantage but not essential
