About the role:
- Work closely with management coordinating calendars, meetings, logistics and purchase orders
- Support the day-day running of the Corporate Servies function
- Provide practical, hands-on support across office coordination, administration, IT Liason, HR Logistics and executive/board communications
- This role covers multiple group entities within the business
- Not a traditional EX position focusing on diary management for one person
Duties:
- Coordinate day-to-day office operations including management of office supplies/consumables and facilities (Liasing with building management and service providers as required)
- Manage all incoming and outgoing correspondance, mail, and courier services, ensuring legal and time-sensitive documents are handled and tracked appropriately
- Maintaining document control registers and SharePoint filing across all group entities, ensuring records are correctly tagged by entity, date and category
- Coordinate and service Board, management and internal team meetings - including agenda preparation, room set-up, minute taking and distribution of action registers
- Organise travel, accomodation, and logistics for the COO, GFC, and Leadership Team in accordance with the Travel Policy; maintain travel records for expense purposes
- Manage recetion including professional greeting of visitors, coordination of site access and inductions, and handling of telephone communications
Experience Required:
- 5+ years' experience in a PA/EA & Office Administration role role (Experience in a mining company desired)
- Self-dirced, accurate, comfortable supporting a small corporate team through a fast-moving capital build phase
- Excellent attention to detail
- Great communication both verbally and written
- Exceptional time management skills, and highly proficient with the Microsoft Suite
