Position Overview
The HR Administrative Assistant is responsible for providing administrative and Human Resources support within a manufacturing environment.
This position performs a variety of administrative functions, including drafting correspondence, scheduling appointments and meetings, maintaining paper and electronic files, supporting payroll and timekeeping activities, coordinating visitors and events, assisting with employee engagement initiatives, and supporting new hire recruitment and onboarding.
The ideal candidate is highly organized, detail-oriented, comfortable managing multiple priorities, and able to communicate effectively with employees, visitors, and internal team members.

Key Responsibilities
Administrative & Office Support
-
Answer incoming telephone calls, provide information, take messages, and transfer calls to appropriate team members.
-
Greet visitors and callers and respond to inquiries or direct them to the appropriate individuals.

Follow established security policies and procedures related to facility access.

Coordinate visitor and meeting logistics, including:
-
Welcoming guests
-
Notifying hosts
-
Reserving meeting spaces
-
Supporting meeting needs
-
-
Arrange conferences, meetings, and training sessions for team members as needed.
-
Create, maintain, and enter information into databases and internal systems while ensuring accuracy and confidentiality.
-
Order and distribute office supplies in accordance with company expense policies.
-
Maintain organized paper and electronic records.
Human Resources & Payroll Support
-
Support payroll and timekeeping activities, including:
-
Maintaining timekeeping information
-
Resetting Kronos passwords
-
Exporting time information to staffing agencies
-
-
Participate in new hire recruitment and onboarding activities.
-
Assist with badge creation and other new hire administrative requirements.
-
Track new hire follow-up activities, including 30-, 60-, and 90-day check-ins.
-
Communicate outstanding onboarding and follow-up items to appropriate team members.
-
Electronically file training and personnel documents related to employment.
-
Maintain confidentiality when handling employee and HR-related information.
Employee Engagement & Training Support

Coordinate ordering for:
-
Working lunches
-
Celebration meals
-
Birthday treats
-
Employee engagement activities
-
Decorations and related supplies
-
-
Ensure purchases remain within established budgets and policy guidelines.
-
Prepare learning, communication, engagement, and event materials, including flyers and invitations.
-
Coordinate and facilitate professional development and learning opportunities for plant and division employees as needed.
Safety & Manufacturing Support
-
Work safely in accordance with applicable regulations, standards, and procedures.
-
Immediately report unsafe conditions, practices, and safety or environmental incidents to management.
-
Participate in peer-based teams and continuous improvement initiatives.
-
Support programs such as Lean Manufacturing and 5S.
-
Perform additional duties and special projects as assigned.
Required Qualifications
Education
-
High school diploma or GED required.
Experience
-
Previous administrative or Human Resources support experience preferred.
-
Previous experience supporting payroll for a large employee population preferred.
-
Experience working within a manufacturing environment preferred but not required.

Experience with Kronos or similar timekeeping systems is beneficial.
Reporting Structure

Reports directly to the Plant Manager.
Work Environment
This position operates within both office and manufacturing environments and requires frequent use of computers and standard office equipment.
The employee may occasionally work in manufacturing areas with:

High noise levels from operating machinery and equipment.
-
Required personal protective equipment (PPE), including steel-toe shoes, eye protection, and hearing protection.

Regular walking, reaching, bending, turning, twisting, pushing, pulling, squatting, and lifting.
-
Extended periods of sitting and computer work.
