Position Overview
The Payroll Clerk is responsible for administering all functions of the time and attendance payroll system for a union workforce, ensuring accurate and timely payroll processing through reconciliation of employee hours, incentive pay, and production data. This role partners closely with Human Resources and Operations to maintain compliance with union agreements, company policies, and benefits practices while supporting payroll accuracy and process efficiency.
Key Responsibilities
Payroll Administration
- Manage daily payroll operations within ADP eTime, including entering, reviewing, and clearing timecard exceptions.
- Verify employee hours, production data, and incentive pay in collaboration with supervisors and operators.
- Process payroll adjustments using approved documentation and ensure accurate payroll records.
- Resolve payroll discrepancies and respond to employee inquiries regarding timecards, pay, and payroll adjustments.
- Conduct payroll audits to ensure accuracy, compliance, and process integrity.
Timekeeping & Data Management
- Reconcile daily payroll and production summaries, ensuring alignment between timekeeping and manufacturing systems.
- Enter, maintain, and validate production data within payroll and manufacturing systems.
- Track and reconcile union dues payments.
- Maintain accurate payroll records and documentation.
- Generate and distribute payroll, attendance, and operational reports as required.
Reporting & Analysis
- Prepare shift summaries and maintain detailed spreadsheets to support operational planning and decision-making.
- Utilize advanced Excel functions for data tracking, reconciliation, reporting, and payroll analysis.
- Identify discrepancies and implement corrective actions to maintain payroll accuracy.
Compliance & Cross-Functional Support
- Partner with Human Resources to ensure payroll processes comply with union contracts, company policies, and benefits practices.
- Support process improvement initiatives between Operations and Payroll to enhance efficiency and accuracy.
- Train and assist team members on payroll procedures and system usage.
- Document payroll processes and maintain organized records for audit and compliance purposes.
Administrative Support
- Perform general administrative duties including label printing, static record reviews, and data maintenance.
- Assist with basic accounting-related tasks as needed.
- Complete additional duties and special projects as assigned.
Required Qualifications
- 1 years of experience using ADP eTime or a similar payroll/timekeeping system.
- 1 years of experience working in a union environment.
- Advanced proficiency in Microsoft Excel, including data tracking, reconciliation, and reporting.
- Strong attention to detail and accuracy in payroll and data management processes.
- Ability to manage multiple priorities and meet daily deadlines in a fast-paced environment.
- Strong analytical and problem-solving skills with the ability to identify and resolve discrepancies independently.
- Excellent verbal and written communication skills with employees, supervisors, HR, and cross-functional teams.
Preferred Qualifications
- Experience in a manufacturing environment.
- Exposure to SAP or other ERP systems.
- Experience supporting payroll operations for unionized workforces.
Education
- High School Diploma or equivalent required.
- Some college coursework in Accounting, Business Administration, or a related field preferred.
