Are you an organised, compassionate professional who enjoys helping people and keeping things running smoothly? We are seeking an experienced Administration Coordinator to support the daily operations of a Medicare Mental Health Centre in Bondi.


As the first point of contact for people seeking support, you will play a key role in creating a warm, respectful and welcoming environment while ensuring appointments, records, communications and administrative processes are managed efficiently.


About the Role

This permanent part-time position (0.6 FTE, approximately three days per week) reports to the Clinical Lead and works closely with a multidisciplinary team of mental health professionals, peer workers and service partners.
Medicare Mental Health Centres provide free, accessible mental health support through a "no wrong door" approach, ensuring people can access the help they need when they need it. This role is essential in ensuring every person who enters the service feels heard, respected and connected to appropriate support.


Key Responsibilities
  • Welcome customers, families, carers and visitors with warmth, empathy and professionalism.
  • Coordinate appointments, manage enquiries and oversee the centre inbox and phone communications.
  • Maintain accurate customer information, records and documentation across multiple systems.
  • Support service reporting, audits, data collection and continuous quality improvement activities.
  • Process invoices, assist with billing activities and manage office supplies and resources.
  • Provide administrative support for meetings, including scheduling, agenda preparation and minute-taking.
  • Respond appropriately to situations involving distress or escalation by engaging clinical or peer staff in accordance with established protocols.
  • Contribute to a safe, inclusive, culturally responsive and recovery-focused environment.
About You

You are a highly organised administrator with strong interpersonal skills and a genuine commitment to supporting people accessing community services.
To be successful, you will bring:
  • Certificate III in Administration and/or a minimum of two years' experience in an administrative or customer service role.
  • Excellent communication skills and a warm, professional approach to customer interactions.
  • Strong organisational skills with the ability to manage competing priorities and maintain attention to detail.
  • Experience using Microsoft Office applications and electronic record management systems.
  • The ability to handle sensitive information with discretion and maintain professional boundaries.
  • Understanding of person-centred, trauma-informed and recovery-oriented practice principles.
  • Experience within mental health, healthcare, human services, community services, alcohol and other drugs, or primary care settings will be highly regarded.
