This is an exciting opportunity for an experienced Executive Assistant or Senior Admin Officer to provide high-level support to the General Manager and Senior Leadership Team while driving operational efficiency across NSW and ACT.
More than a traditional support role, you'll play a key part in improving processes, coordinating leadership activities, and ensuring the business operates efficiently behind the scenes.
The Role
As the State Admin Coordinator, you'll play a pivotal role in supporting the General Manager and Senior Leadership Team by:
- Providing high-level support, including complex diary management, inbox coordination, travel arrangements, meeting scheduling, and correspondence.
- Coordinating leadership meetings, quarterly planning sessions, off-site events, and strategic workshops from planning through to execution.
- Preparing agendas, presentations, reports, meeting packs, and taking accurate meeting minutes with clear follow-up actions.
- Acting as the central coordination point between the General Manager, Senior Leadership Team, and key stakeholders across NSW and ACT.
- Supporting governance processes by maintaining reporting packs, leadership dashboards, action registers, and business documentation.
- Identifying opportunities to streamline administrative processes, improve workflows, and leverage Microsoft 365 to drive efficiency.
- Coordinating operational administration, including purchase orders, procurement, uniforms, travel bookings, and other business support activities
- Working collaboratively with state administration teams nationally
About You
You'll be an experienced Executive Assistant, Senior Admin Officer, or Executive Officer who thrives in a fast-paced environment and enjoys bringing structure to complex operations.
You'll also bring:
- Proven experience supporting senior leaders and their teams.
- Exceptional organisational skills with the ability to manage competing priorities.
- Experience coordinating meetings, preparing executive documentation, and taking detailed meeting minutes.
- Advanced Microsoft 365 skills and the ability to use technology to improve processes.
- A continuous improvement mindset with the confidence to identify and implement more efficient ways of working.
- Strong stakeholder management and communication skills.
- High attention to detail, professionalism, and the ability to handle confidential information with discretion.
- Experience within government or another structured, governance-focused environment will be highly regarded.
- A proactive approach, always thinking ahead and anticipating business needs.
