Administrative Assistant/ Book Keeper

Location: Grand Rapids, MI 
Shift: 1st Shift 
Pay: $20.00+per hour 

Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant with proven bookkeeping experience to support daily office operations and financial administration. The ideal candidate will be responsible for managing administrative tasks, maintaining accurate financial records, processing invoices, and assisting with accounting functions while ensuring efficient office operations.
 
What You'll Be Doing
As a Administrative Assistant, your core responsibilities will include:
  • Provide administrative support for daily pallet distribution operations, including answering phones, responding to emails, and assisting customers and vendors
  • Coordinate schedules, maintain records, prepare documents, and support management with day-to-day administrative tasks
  • Process customer invoices, accounts payable, and accounts receivable transactions accurately and on time
  • Maintain bookkeeping records, reconcile accounts, and assist with month-end financial reporting
  • Track and organize inventory, delivery paperwork, purchase orders, and other operational documents
  • Assist with payroll administration, employee records, and expense reporting
  • Communicate with customers, suppliers, and transportation partners to ensure smooth order fulfillment and delivery coordination
  • Maintain organized electronic and physical filing systems while ensuring the confidentiality of company and financial information
  • Support compliance with company policies and procedures and assist with special projects as assigned.
 
  • In addition, you may also be requested to hep in the warehouse to accomplish company goals and deadlines.

What We're Looking For

To be successful in this role, you should have the following:
Qualifications:
  • Experience in a small business or professional office environment of a year or more 
  • Knowledge of payroll processing and financial reporting
  • Understanding and past usage of QuickBooks or related systems 
  • Familiarity with CRM and document management systems
