Facilities Management
- Oversee the day-to-day management and maintenance of Aoibhneas properties, accommodation units, offices and service locations.
- Ensure premises are safe, secure, well maintained and fit for purpose.
- Develop and manage preventative maintenance schedules and conduct regular site inspections.
- Coordinate repairs, maintenance and refurbishment works.
- Manage access control, keyholding and building security arrangements.
- Maintain accurate maintenance, inspection, servicing and compliance records.
Health, Safety & Compliance
- Ensure compliance with relevant Health & Safety legislation and organisational policies.
- Conduct and review risk assessments relating to buildings, equipment and workplace activities.
- Monitor fire safety systems, emergency lighting, alarms, extinguishers and evacuation procedures.
- Ensure statutory inspections, certifications and servicing are completed and recorded.
- Support emergency planning and business continuity arrangements.
- Investigate and report facilities-related incidents, hazards, accidents and near misses.
- Promote a strong culture of safety and continuous improvement.
Contractor & Supplier Management
- Source, appoint and manage contractors and service providers in line with procurement requirements.
- Monitor contractor performance, service agreements, costs and value for money.
- Ensure contractors comply with Health & Safety, safeguarding and organisational requirements.
- Obtain quotations and support facilities-related procurement.
- Maintain effective relationships with suppliers, landlords, maintenance providers and utility companies.
Asset & Resource Management
- Maintain an accurate asset register across all sites.
- Oversee furniture, equipment, fixtures and operational supplies.
- Plan asset and equipment replacement programmes.
- Support budgeting, forecasting and monitoring of facilities expenditure.
- Ensure effective use of facilities resources and budgets.
Projects & Administration
- Support refurbishment, relocation, property acquisition and capital improvement projects.
- Liaise with internal teams, contractors, consultants and regulatory bodies.
- Monitor project timelines, budgets and deliverables.
- Maintain accurate facilities records, policies, procedures and compliance documentation.
- Prepare reports for management on facilities performance, compliance and risks.
- Support inspections, audits and information requests.
- Maintain effective systems for logging and monitoring maintenance requests.
Leadership & Support
- Provide guidance and supervision to facilities, maintenance and contracted personnel as required.
- Support managers in resolving facilities-related issues.
- Promote effective communication and collaboration across teams and locations.
- Contribute to organisational planning and service development.
Other Duties
- Work under the direction of the Head of Services to maintain high standards across all Aoibhneas locations.
- Participate in emergency response arrangements and support critical incidents when required.
- Represent Aoibhneas professionally and uphold the organisation’s values and ethos.
- Undertake other duties appropriate to the role as required.
Person Requirements
Essential
- Relevant third-level qualification in Facilities Management, Property Management, Building Services, Health & Safety, Construction Management or a related discipline, or significant equivalent experience.
- Minimum three years’ experience in facilities, property or operational management.
- Experience managing multiple sites and competing priorities.
- Strong knowledge of Health & Safety legislation and compliance requirements.
- Experience managing contractors, service providers and maintenance programmes.
- Strong organisational, planning and problem-solving skills.
- Experience monitoring budgets and managing resources.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office and electronic record management systems.
- Ability to work independently and make sound operational decisions.
Desirable
- Health & Safety qualification.
- Facilities Management qualification.
- Experience in the community, social care, housing or not-for-profit sector.
- Project management experience.
- Experience overseeing refurbishment or capital projects.

Role Requirements
The role requires regular travel between Aoibhneas properties and service locations, with the ability to manage competing operational priorities across multiple sites.
Working hours will generally be Monday to Friday; however, flexibility is required to respond to urgent maintenance, compliance or operational matters when necessary.
A full clean driving licence and access to transport are essential.
