Position Summary
seeking a Facilities & Procurement Coordinator to provide operational support for the Property Management & Facilities team. This individual will coordinate vendor activities, manage procurement and contract administration processes, monitor certificates of insurance, support facilities projects, and ensure timely completion of facility-related requests.
The ideal candidate has experience supporting facilities, property management, procurement, vendor management, or corporate operations environments and can quickly step in with minimal training.

Position Summary
seeking a Facilities & Procurement Coordinator to provide operational support for the Property Management & Facilities team. This individual will coordinate vendor activities, manage procurement and contract administration processes, monitor certificates of insurance, support facilities projects, and ensure timely completion of facility-related requests.

Key Responsibilities
- Coordinate bidding processes, vendor proposals, and contract administration activities.
- Process purchase requisitions and purchase orders for facilities-related services and purchases.
- Review and track contractor and vendor Certificates of Insurance (COIs) to ensure compliance with company requirements.
- Maintain vendor records, contracts, insurance documentation, and department files.
- Coordinate preventive maintenance schedules and vendor service activities.
- Monitor vendor performance and follow up on service requests through completion.
- Serve as a liaison between facilities, vendors, accounting, procurement, and internal business partners.
- Track work orders, service requests, and project-related activities.
- Assist with facilities projects, office moves, furniture reconfigurations, and workplace initiatives.
- Support emergency preparedness activities, training events, and department communications.
- Prepare reports, presentations, and documentation as needed.
Required Qualifications
- Bachelor's degree in Business, Operations, Facilities Management, Property Management, or related field preferred.
- 3+ years of experience in procurement, facilities coordination, property management support, vendor management, contract administration, or related operational roles.
- Experience reviewing and managing Certificates of Insurance (COIs).
- Experience supporting bidding processes, contracts, purchase orders, or vendor relationships.
- Strong Microsoft Office skills, particularly Excel, Word, and Outlook.
- Excellent organizational, communication, and customer service skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Experience supporting commercial office facilities or corporate real estate operations.
- Experience working with vendors, contractors, and maintenance service providers.
- Knowledge of procurement processes and contract administration.
