Contracts Administrator

Position Overview

We are seeking a Contracts Administrator to support the front-end contract administration process for aftermarket products. This position will administer contracts of moderate scope and complexity, ensuring contractual obligations, customer requirements, pricing, delivery schedules, and terms and conditions are properly managed.

The Contracts Administrator will serve as a key point of contact for customers and internal stakeholders and will support contract review, proposals, RFPs, negotiations, compliance, and contract performance.

The ideal candidate will have 1–2 years of contracts administration experience, preferably supporting military, government, aerospace, or defense contracts, along with strong customer communication skills.

  • Hours: 7:00 AM – 4:00 PM or 8:00 AM – 5:00 PM

Key Responsibilities

Contract Administration

  • Administer contracts of moderate scope and complexity to ensure fulfillment of contractual obligations.
  • Review and analyze customer purchase orders, including orders issued against Basic Contract Agreements and Long-Term Agreements.
  • Evaluate:
    • Performance requirements
    • Delivery schedules
    • Pricing
    • Terms and conditions
    • Other contractual provisions
  • Monitor contract performance and ensure compliance with customer and company requirements.
  • Determine when customer-directed changes fall outside the existing scope of work.
  • Prepare and coordinate contract amendments or extensions as required.

Proposals & RFPs

  • Develop technically and commercially compliant proposal packages in response to customer and contractual requirements.
  • Evaluate performance requirements, delivery schedules, material costs, equipment requirements, and labor-hour estimates.
  • Initiate and coordinate the bid process by gathering requirements and input from cross-functional teams.
  • Develop responses to Requests for Proposal (RFPs).
  • Review material, testing, delivery, pricing, and other requirements associated with customer requests.
  • Prepare and submit proposals in accordance with established procedures.

Contract Negotiations

  • Negotiate contracts within assigned scope and authority while complying with legal requirements and company policies.

  • Ensure contractual provisions are clearly defined and consistent with company policies.
  • Support negotiations for follow-on requirements to obtain favorable pricing, terms, and conditions.

Customer & Stakeholder Management

  • Serve as a primary point of contact for customers regarding assigned contracts.
  • Proactively contact customers to review contract details, obtain required information, and provide status updates.
  • Participate in customer meetings and presentations.
  • Investigate and resolve customer claims, questions, and complaints.
  • Coordinate with internal teams regarding technical issues, quality concerns, data requirements, delivery requirements, and other business matters.

Contract Performance & Compliance

  • Monitor contract financial performance and delivery status.
  • Maintain accurate contract documentation and records.
  • Support export compliance administration and implementation of applicable export compliance requirements.
  • Ensure compliance with applicable federal, state, government procurement, and aerospace industry regulations.
  • Review regulatory requirements and advise management regarding necessary actions.
  • Utilize Lean principles to develop and implement standardized work and process improvements.

Required Qualifications

  • Bachelor's degree in Business Administration or a related discipline.
  • 1–2+ years of contract administration, contract management, or directly related experience.
  • Experience supporting contracts within military, government, aerospace, defense, or another regulated environment strongly preferred.
  • Knowledge of contract administration principles, practices, policies, and procedures.
  • Understanding of legal and regulatory requirements related to contracts and government procurement, where applicable.
  • Ability to read, analyze, and interpret moderately complex contract terms and conditions.
  • Experience supporting proposals, bids, RFPs, pricing, and contract negotiations.
  • Strong customer service and communication skills, including the ability to proactively contact customers regarding contract requirements and status updates.
  • Strong analytical, organizational, and problem-solving skills.
  • Ability to effectively manage multiple contracts, priorities, and deadlines.
  • Proficiency with standard business applications and contract/customer management systems.

Preferred Qualifications

  • Contract Management certification completed or currently in progress.
  • Experience with military or government contracts.
  • Aerospace or defense industry experience.
  • Knowledge of government procurement requirements.
  • Experience with export compliance.
  • Familiarity with Lean principles and continuous improvement methodologies.
  • Membership or familiarity with professional organizations such as the National Contract Management Association (NCMA) or similar contract management organizations.
