Qualifications:

• The ideal candidate is proactive, highly organized, and comfortable coordinating multiple moving parts simultaneously while ensuring critical client communications, operational initiatives, and conversion activities are completed accurately and efficiently.
• 1+ years of experience in customer services, client services, financial services, operations, project coordination, documentation management, or a related field.
• Strong organizational and exceptional attention to detail.

FOCUS:
We are seeking a Client Documentation & Transition Specialist to support institution conversions, client communications, repapering activities, and operational project initiatives within a financial services environment

RESPONSIBILITIES

• Manage client communication mailings related to institution conversions, account transitions, repapering initiatives, and negative consent letter campaigns.
• Coordinate the creation and distribution of client mailing packages, including letters, inserts, data files, and supporting documentation.
• Obtain necessary approvals for mailing components and provide finalized materials to print vendors for production.
• Review and approve electronic and physical proofs to ensure accuracy before distribution.
• Track and assist with resolving undeliverable client communications when necessary.
• Complete and submit formal document requests supporting conversion and de-conversion projects.
• Partner with internal stakeholders to log, track, and manage work requests submitted to third-party system vendors.
• Serve as the primary point of contact throughout the lifecycle of assigned vendor work requests.
• Facilitate review and approval of vendor estimates, project requirements, and deliverables.
• Coordinate testing activities associated with system updates, conversions, department initiatives, and regulatory projects.
• Work closely with internal teams and vendors to troubleshoot, escalate, and resolve issues impacting project deliverables.
• Maintain accurate project documentation, status tracking, approvals, and communication records.
• Support operational initiatives, regulatory requests, and special projects as assigned.

Estimated Min Rate: $14.00
Estimated Max Rate: $20.00
