Job Description:
- Manage complex calendars for the CEO and other C-level executives, including scheduling internal and external meetings across multiple time zones
- Coordinate travel arrangements, itineraries, expense reporting, and logistics for executive leadership
- Serve as a gatekeeper and point of contact for executive communications
- Prepare meeting agendas, presentations, materials, and follow-up action items
- Assist with board meetings, leadership meetings, investor meetings, and company events
- Prioritize competing requests and ensure executives are prepared for daily activities and upcoming commitments
- Coordinate cross-functional communication between departments and leadership teams
- Handle confidential information with professionalism and discretion
- Support special projects and operational initiatives as needed
- Help improve administrative processes and drive efficiency across the organization
- 5+ years of Executive Assistant experience supporting C-level executives, ideally within a SaaS or high-growth technology company
- Strong calendar management and prioritization skills in a fast-paced environment
- Exceptional written and verbal communication skills
- Highly organized with strong attention to detail and follow-through
- Ability to manage multiple priorities with a sense of urgency and professionalism
- Experience handling confidential and sensitive information
- Strong proficiency with Google Workspace, Microsoft Office, Slack, Zoom, and expense management tools
- Comfortable working independently while collaborating across teams
- Positive, proactive, and solutions-oriented mindset
- Experience supporting a CEO directly
- Prior experience in a venture-backed or rapidly scaling SaaS environment
- Experience coordinating board meetings or investor-related logistics
- Bachelor’s degree
