Position Overview

This role provides critical administrative and project coordination support to engineering and plant operations teams. The position focuses on managing project tracking, reporting, logistics, documentation, and cross-functional coordination to reduce non-technical workload for engineers and ensure smooth project execution.


Key Responsibilities

  • Maintain and update project spend data, including capital and expense portfolios; support budget tracking in coordination with Finance
  • Prepare, analyze, and distribute monthly reports (project spend, labor, SAP-based reporting)
  • Track and report on engineering, departmental, and operational metrics
  • Manage experimental parts tracking and support quoting activities
  • Coordinate purchasing requests, receipts, and contractor-related materials
  • Organize and support recurring engineering and plant meetings (including daily plant meetings):
    • Prepare agendas
    • Consolidate presentations
    • Capture and distribute meeting notes and action items
    • Track follow-ups
  • Schedule meetings, manage calendars, and coordinate vendor/visitor logistics
  • Support onboarding for new employees, contractors, and interns (materials, system access, setup)
  • Route and track access requests, IT tickets, and facilities service requests
  • Coordinate on-site trainings, seminars, and travel logistics (registrations, itineraries, documentation)
  • Manage shared inboxes, collaboration tools (Teams, SharePoint), and document repositories
  • Maintain SOPs, templates, checklists, and controlled documents; support audit readiness
  • Track project deadlines, submissions, and documentation requirements; send reminders and follow-ups
  • Draft and distribute communications on behalf of the engineering team
  • Perform additional administrative tasks to support engineering operations

Education

  • High School Diploma or GED required

Required Qualifications

  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Ability to collaborate with stakeholders across departments
  • Experience scheduling meetings and managing calendars across teams/locations
  • Strong organizational and multitasking abilities
  • Excellent attention to detail in data entry, reporting, and documentation
  • Ability to prioritize tasks and manage deadlines in a fast-paced environment
  • Strong written and verbal communication skills

Preferred Qualifications

  • 2 years of experience in an Administrative Assistant or Project Coordinator role
  • Experience supporting engineering, manufacturing, or plant environments
  • Ability to anticipate needs, follow up on tasks, and resolve routine issues independently
  • Experience working with cross-functional teams, vendors, and leadership
